Overview of Candidate Evaluation and Scoring – Meritto

Introduction

As we all know, Institutes/B-Schools generally have a post-application process such as Group Exercises or Interviews, etc. Before giving them admission. Every process involves Candidate Evaluation and Scoring.

Using the Virtual Post Application, the Institute users would be able to create different scorecards to be used for the evaluation of the applicants in one or more processes, depending on the customized Scoring Fields which are to be used as the scoring parameters in the scorecard. Also, enabling the VPA’s candidate Evaluation and Scoring would help:

Create Scorecards/Evaluation Sheets
Define the candidates’ data points which will be visible to the Evaluators
Define the parameters on which the Candidates will be evaluated
Implement various logic i.e. Calculation, Show/Hide, or make the scoring field mandatory
Add/View the Candidate’s scores

Types of Scorecard

One-On-One Scorecard: This type of scorecard is used for the evaluation of applicants in One-On-One interview rounds where one evaluator is evaluating one candidate at one time, so the scoring sheet of candidates can be accessed one by one for all the applicants assigned to that particular evaluator
Group Scorecard: This type of scorecard is used for the evaluation of more than one candidate at one go. These scorecards are generally used for group discussions where evaluators are simultaneously reviewing/interviewing multiple candidates at one go so they can access the scoring sheets and add scores for multiple applicants in one single view

Prerequisite

Access to the Virtual Post Application module on the Meritto portal

Configuration of Candidate Evaluation Scorecard

Step 1: Navigate to the Post Application in the menu then click on the Virtual Post Application in the sub-menu. Else, search for the Virtual Post Application in the menu search and then click on the Virtual Post Application listing

Step 2: Select the Form name for which you wish to enable the Candidate Evaluation and Scoring. Once the form name is selected then click on the Let’s Get Started button

Step 3: Drag the Candidate Evaluation and Scoring tab from the Post Application Stages list, drop it in the Design your Post Application Process workflow window, and then click on the Next Step. You will see a list of Scorecards already created along with the Status.

Step 4: Click on the “Add New Scorecard” button highlighted in the red box in the below screenshot if in case a new scorecard needs to be created

If any changes are required in an existing scorecard then click on the individual action button corresponding to the individual scorecard and click on the Edit Evaluation Form (highlighted in the yellow color) option from the dropdown

Step 5: Once clicked on the “Add New Scorecard” button you will be directed to the first step of scorecard creation which is “Basic Settings” or you can directly click on the Basic Settings tab to create a new scorecard. Define the below-mentioned parameters.

Scorecard Name: The name of the scorecard created will be available in this column of the listing page. Please make sure to define a meaningful name that would help to identify the scorecard in the future, say PI Evaluation Sheet. If in case help text needs to be shown on the scorecard, click on the blue colored question mark button highlighted in yellow color in the below screenshot and define the help text in the text box
Process: Select the process name from the dropdown to associate the Scorecard with the Slot Booking process.
Evaluators: Select the evaluators to whom the scorecard would be visible to evaluate the candidates
Application Details to be shown on the One-on-one scoring view: Define the name of the block and details from the dropdown that needs to be displayed to evaluators in the scorecard in case the type of the scorecard used is a One-on-One scorecard. To add the new block, click on the Add New Block button highlighted in the below screenshot. As an example, the Institute might want to show some Personal Details as well as Academic Details of the Candidate to the evaluator. In such cases, they can create respective blocks and map the corresponding data attributes from the Application Form.

Application Details to be shown in the Group Scoring view: Click on the “Yes” radio button if the evaluation needs to be done in a group. If yes, define the block name and details of the candidate which need to be shown to the evaluators on the scorecard.
Applicant Document to be shown in Scoring view: If in case documents are to be shown to the Evaluators on the Scorecard for the Evaluation. The user can define the block name then from the dropdown user can select the required documents (including the ones uploaded by the candidate at the time of filling up the form or system-generated general documents) that need to show on the scorecard.
Also, if more blocks are to be added then the user can add them by clicking on the “Add New Block” button
Instructions: If a user needs to display instructions on the scorecard for evaluators, they must first enable the instructions by toggling the switch, then define the instruction heading and content.

Step 6: Once the above-required blocks are defined in the Basic Settings page then click on the Save and Next button to continue further on the Scoring Field Settings page

Step 7: Select the scoring field dropdown in case a new field is to be created then click on the “Add New Fields” option from the dropdown a screen will open up from the right side of the screen wherein define:

Field name: Name which would be visible to the Evaluators on the scorecard
Field Type: Select the type of field which could be Textbox, Rating Scale, Dropdown, date, etc.
Minimum characters: If required define the minimum characters of the scoring field
Maximum characters: If required define the maximum characters of the scoring field
Input type: Define the Input type of the scoring field
Placeholder Text: Define the text that would be visible as a Scoring field placeholder in the Scorecard
Custom Error Message: Define the error message that would be visible on the scorecard when the evaluator has not filled out the mandatory fields

Once all the parameters are defined then click on the Save button

Step 8: If more scoring fields are to be configured then click on the “+” button and define the number of columns that need to be added in the below row

If in case a help text is to be displayed on the scorecard. Click on the blue colored question mark and define the help text in the textbox

Step 9: If scoring fields are to be Shown/Hide based on a certain Logic, then define the same by clicking on Logic 1 from the dropdown then define:

Logic Name: Define the Logic Name. Please make sure to define a meaningful name that would identify the logic later
Run the logic for candidates fulfilling: Define the logic which could be All Criteria i.e. run logic when all the defined criteria are fulfilled and Any Criteria i.e. run logic when any of the defined criteria are fulfilled
Define the logic i.e. if one scoring field contains x,y, or z then show/hide another scoring field

Concerning the below screenshot If the English field contains 0 then Hide the Confidence scoring field and click on the Save button

If new logic needs to be added then click on the Add logic button.

Step 10: If in case a new calculate logic needs to be implemented then click on the Calculate field drop-down and define:

Logic Name: Define the Logic name. Please make sure to use a meaningful name that at a later phase could be used to identify the logic
Run the logic for candidates fulfilling: Define the logic which could be All Criteria i.e. run logic when all the defined criteria are fulfilled and Any Criteria i.e. run logic when any of the defined criteria are fulfilled
Define the logic by selecting the scoring field in the “If logic builder”. If the logic is fulfilled then the field selected corresponding to the Update would be updated based on the logic defined in the As per Logic.

Regarding the above logic. The total score would be updated until and unless the English field is empty then in the Total Score the value would be populated which would be the addition of English, Confidence Score, and Personality Score

Step 11: If required fields could be made mandatory by selecting the particular scoring field by clicking the Mandatory field dropdown

Step 12: Once everything is configured then click on the Save button which will redirect to the scorecard listing page where you need to enable the score by clicking on the Enable in the individual action button.
